Administrative and Program Coordinator – Job Description

 

Working collaboratively with staff and volunteers, your work will support the educational and preservation mission of the non-profit USS Potomac Association, which owns and operates the historic presidential yacht USS Potomac which is berthed at Jack London Square in Oakland, Calif. The 165-foot vessel, used by Franklin D. Roosevelt from 1936 to 1945 and now a National Historic Landmark, provides public sightseeing cruises, dockside tours and private charters in San Francisco Bay.

Preferred Skills
Bachelor’s Degree preferred
Demonstrated ability to handle a high degree of multi-tasking, working simultaneously across platforms and programs, volunteers and visitors.
Demonstrated strong writing and verbal communications skills.
Computer proficiency with experience across Microsoft Office applications.  Experience with Publisher a plus.
Experience working with fundraising /CRM platforms, such as DonorPerfect, Raiser’s Edge.
Experience with program coordination and in working with volunteers
Detail-oriented, well-organized, helpful and flexible demeanor
Self-starter, requiring minimal supervision
Good command of facts and information
Good follow-up and planning skills
Personable; works well with people, especially  volunteers and patrons

Coordinate Volunteer/Docent Program
Overseeing scheduling platform and communications with volunteers
Monitor  docent sign ups, resolve any scheduling issues.
Contact docents to fill vacancies
Prepares and sends cruise assignments
Respond to applications
Schedules new volunteer orientations, and participants.
Track docent qualifying sessions
Order name badges
Prints and distributes cruise manifests to staff and volunteers.
Assist Office Manager with cruise supply orders.

Coordinate Student Cruises
Set spring and fall student cruise dates
Communicate with schools:  Contact teachers, coordinate their participation
Schedule the schools and docents to work those dates
Organize and manage the schools on cruise days
Respond to questions and provide ongoing communications

Administrative Ship and Office:
Back up for Executive Director, as needed
Schedule the janitorial requests for ship and office, as needed.
Tracking and ordering of supplies for office and ship, as needed
Some data entry/update scheduling of donor records
Donor acknowledgements/follow up.
Help to supervise/participate in check in of passengers, as needed.
Social media postings, as needed
Coordinate details for meetings
Answers and follows up on phone and website inquiries.
Other duties, as needed

Ship’s Mechanic (Ship Keeper).

 

The USS Potomac, Franklin D. Roosevelt’s historic presidential yacht – a National Historic Landmark – is accepting applications for a part-time ship’s mechanic (role name:  ship keeper).  Potomac is 376 gross tons, 165 feet LOA with Enterprise direct reversible Diesel-Main Engines.  She is berthed at 540 Water Street at Jack London Square, Oakland, Calif.

 The USS Potomac is owned and operated by the nonprofit USS Potomac Association, an organization run by a small staff and highly dedicated volunteers.  The Ship Keeper is a paid position for the base responsibilities.

 Job Overview:

The USS Potomac Ship Keeper is responsible for repairing and maintaining the ship and her related systems, overseeing vessel inspections, and ensuring the vessel functions efficiently and safely. This includes troubleshooting problems, determining, coordinating or performing necessary repairs, coordinating and providing cost estimates by vendors for repairs or replacements.  It also includes maintaining the general condition and appearance of the vessel in service to our mission of providing 35 public history cruises, 20 student cruises, and 15 to 20 charters each year.

Responsibilities:

  1. Perform routine maintenance and repairs, and oversee maintenance volunteers.
  2. Inspect and test all systems and equipment to identify issues and determine necessary repairs
  3. Perform or supervise repairs including electrical, mechanical, ship appearance and safety issues
  4. Replace or repair defective materials
  5. Install or coordinate installation of new or updated systems and components as needed
  6. Acquire cost estimates from vendors for repairs or replacements, when needed.
  7. Maintain detailed records of work performed and parts used
  8. Ensure compliance with all safety regulations and guidelines and all USCG, State and Federal requirements
  1. Collaborate with other marine professionals, including boat captains, engineers, and designers
    Manage unexpected or emergency maintenance as needed.
    11.  Oversee bi-annual dry-docking preparation and operations.

Qualifications:

  1. Merchant Mariner Credential with certification of Chief Engineer or Dedicated Duty Engineer desirable but not mandatory
  2. Knowledge of boats, engines, and related systems
  3. Ability to read and interpret technical manuals and schematics
  4. Strong problem-solving skills, initiative
  5. Attention to detail and ability to work with precision
  6. Physical strength and dexterity to lift objects weighing 20 lbs. or more, and operate machinery
  7. Ability to communicate effectively with volunteers, staff, clients and colleagues
  8. Good organizational skills and ability to manage time effectively

Compensation is based on experience.

  1. This is an hourly, part-time role with a minimum of two, seven-hour work days per week.
  2. Additional support will be required to address any emergency/unexpected maintenance issues and paid at hourly rate.
